“Behind the Scenes” Jobs

Many of these jobs need to be done before we send out the application for the Holiday Market. They are typically done by past participants and Mostly by the members of the Holiday Market committee. We list them here so you can see some of the work that goes in to setting up the Holiday Market

  • Retain Space for Holiday Market

    • Each year, we visit retail space around Sudbury that is currently unoccupied. We contact the owners/management company to see if they would be willing to let us use the space for the Holiday Market.

    • We pay utilities but hope to get the space rent free.

    • The number of people who can participate in the Holiday Market is dependent on the size of the space.

    • For the last few years, we have been at 29 Hudson Road since the space has not been rented out and the management have been willing to let us use the space. But there is no guarantee it will be available again.

    • We would like to have the space from sometime in October thru at least the end of the year. Having the space in to early January would be even better. This would give us time for setup and take-down on either end. The timing of when the store opens is dependent on when we have access to the space.

    • The amount of time this job will take is very dependent on how quickly a space is found.

    • One person can do this job but its better if there are 2 people working together.

  • Set up DropBox and gmail mailing lists

    • The Holiday Market has it’s own gmail and dropbox account tied to the address: saaholidaymarket at gmail.com.

    • Gmail:

      • Once all the applicants have been accepted, all participants need to be added to the Contacts. Since many people are repeat participants, this is only needed for the new people.

      • A mailing list is created containing all of the participants (HM20YY).

    • Dropbox:

      • All applicants need to upload photos. A new dropbox folder needs to be created (if it doesn’t already exists) and the link needs to be shared with the person who is setting up the application page.

      • If this is a year when we ask for videos, the dropbox account space needs to be increased for the duration of the Holiday Market and a video folder needs to be created for uploads.

      • This job is done before the Holiday Market application goes out which means that it needs to be managed by someone who has participated in past Holiday Market.

  • Set up signupgenius jobs (or whatever software we end up with)

    • The person who does this needs to be comfortable working on a computer.

    • In past years, we have used signupgenious. The advantage of this is that you can copy over all the previous jobs to a new year and update accordingly.

    • You may need to check in with other past participants to make sure all jobs are listed.

    • You would need to update the number of people needed for each job.

    • You will need to make sure that all jobs are signed up for.

    • Depending on your familiarity with the software we use, will depend on how long this will take you. Probably somewhere between 4-10 hours.

  • Certificate of Liability Insurance

    • The certificate is purchased yearly by SAA and has been done in the past by SandyW.

    • You would need to confirm it has been purchased for the year.

  • Inquire About Security Deposit for Utilities with owner/management company

    • Whomever negotiated for the space is the best person to do this.

    • Find out how much the deposit will need to be and work with ChristineF/TerriA to make sure the check is sent.

  • Arrange Paypal links

    • We use paypal for membership & Holiday Market payments.

    • Links need to be set up in our paypal account and given to the person who is setting up the website applications.

    • This needs to be done before the Holiday Market applications are sent out.

  • Set up webpages for Holiday Market

    • This ongoing work done thru-out the year .

    • This includes setting up the application for current Holiday Market.

    • This includes updating these job pages.

    • This includes setting up training pages with videos supplied by JenC.

    • This is done by the two web people - KimB and AndreaA with info supplied by the Holiday Market committee.

    • This is many hours of work - though less each year as we add more content to the website.
