Layout space and assign spots
Once the location has been found, we measure out the space and determine how many artists we can accommodate.
The space is laid out. this will include a space for the checkout area and decorations.
This needs to be done prior to the clean up (I think?)
The spaces need to be assigned. The preference is to have the jewelers as close to the register as possible. If we are at 29 Hudson, that means somewhere on the first floor, though this can’t always be accommodated.
We try not to put the same type of art near each other.
The day before the artists can start set up, the spaces need to be marked.
Mop, dust, vacuum space (3)
Prior to any set up (other then marking spaces), the space needs to be cleaned.
Depending on the space and what needs to be done, this is usually 4 people.
This task should be completed before anything is moved to the store
You may need to supply a vacuum, mop etc. This will be coordinated among the people who do this job
One person should take the lead - preferably someone who has done this before
This job will take 2-4 hours depending on how clean the space is
This is a good job for someone new to the Holiday Market
Move stuff from Christine to the store
A bunch of stuff including the checkout area tables, some decorations, lights for both inside and out, are stored at Christine’s house
We need 1-2 large vehicles and 4 people to go to Christine’s house and move everything to the store
This task can be done after the store has been cleaned
This is a good job for someone with a large vehicle (at least one truck would be helpful) and is a good job for a newer person
There should be at least one person who has done this job before to lead the group
Physically set up the checkout area
The checkout area as two main components - the register area and the packing area.
The areas will be taped out ahead of time so follow the tape on the floor to set up the area
There should be bags, tissue paper and assorted packing materials that need to be set up in the packing area
There are a couple of shelves that are put under the checkout area containing various stuff we use thru-out the Holiday Market. Check to make sure there is tape, pens and scissors. If anything needs to be replenished, keep your receipts and you will be reimbursed.
Cover all the tables with black table cloths that in the boxes moved from Christine’s house
This job takes two people. It’s a good idea to have someone who has done this before to give guidance on set up. The second person can be newer to the Holiday Market
Decorate inside space prior to artists setup
Depending on the space, there will be areas set aside to decorate the inside of the store
We will give you a budget to spend on new items and you can use items from previous years (these will be with the stuff from Christine’s house)
Try to make it festive and inviting. If there are any windows, this is a great place to decorate.
This will be a group of 4 people and should be completed before artists set up in the store.
There should be one person who has done this in previous years to guide the new people.
If you look at our Instagram or Facebook, you can see some of what people have done in the past.
Collect and place branches with lights around the store
We also decorate the store with metal containers filled with branches and lights
This group will collect branches for this purpose
Place the metal containers in the assigned space and place lights on the branches.
This can be done by 2-4 people and is good for newer people with a least one previous person who can guide them
Decorate outside (lights & signs)
If possible, we put up a sign & lights outside. This is very dependent on the space we get.
There are outside lights that can be placed around the space and put on timers
There are a couple of signs that need to be hung
This job can be done by 2-4 people (depending on the outside space).
A ladder may be required
Setup music system
We try to have holiday music in the store.
We have a couple of old phones with music on them, This may need to be updated at some point.
We have some speakers supplied by Christine and Andrea
Directions need to be written on how these work and added to the handbook
If one of the phones dies or if someone has Holiday music they can put on an old phone/device, that would be helpful
Mark Light Locations
Maybe people have lights on their tables
We have holiday lights all over the store
At the beginning and end of every shift, someone needs to go and turn on/off all the lights.
This would entail finding all the light switches, place a piece of tape on the floor and indicating where the lights are (example: on table, under table, on wall)
This is a good job for an observant person and would take about 1 hour.
It would need to be completed once everyone is set up and before opening day
Set up point of sale system (Square)
All artists need to be added to the Square
This is typically done by JenC
Set up shift signup schedule
Every artists will be doing multiple shifts
JenC sets up all the shifts in a signup system
All artists will be given a time to set up
JenC will help artists who need to move shifts around
It might be helpful for someone to learn how to do this so Jen is not the only one. If you are interested in shadowing Jen thru the process, let us know.

In 2020, we were able to borrow glass from the Town of Sudbury after the voting was done
